POSITION SUMMARY

The Director of Administration is a key member of the organization's senior management team who provides critical direction and oversight of finances, grants management & fundraising planning, legal administration, human resources, and facilities management. The ideal candidate will be prepared and energized to lead the organization through an important phase of operational growth and performance. This individual must be both a strategic thinker and strong implementer, with the ability to communicate effectively and drive processes across the organization.


KEY RESPONSIBILITIES


Financial Management
  • Direct the financial management of the organization. Prepare the organization and program budgets, and track income and expenditures against them. Prepare regular cash forecasts and other financial reports for the Board of Directors and the staff.
  • Supervise all accounting and bookkeeping activities. Perform or oversee reconciliation of banking and other accounts and financial activities. Working with an external payroll provider, prepare the monthly payroll and oversee its entry into the accounting system.
  • Working with external accountants and the Treasurer, prepare NOWCRJ's annual financial statements and IRS 990, and oversee the auditors' review. Manage and prepare all other necessary governmental filings and financial recordkeeping.
Organization Management
  • Supervise all aspects of the organization's administration, working closely with the Executive Director and the Administrative Coordinator, in order to facilitate the smooth functioning and growth of the organization and its programs.
  • Manage the human resource needs of the organization. Prepare contracts and agreements for staff and consultants. Ensure compliance with all federal, state, and local employment laws and regulations. Oversee management and recordkeeping for 1099 contractors.
  • Oversee management of NOWCRJ's premises including the administrative offices. Maintain the relationship with the landlord; ensuring issues or needed repairs are addressed in a timely fashion. Supervise staff in the maintenance and care of the premises and equipment.
  • Oversee the organization's IT resources, working with other staff and consultants as required.
  • Support NOWCRJ's programs and campaigns as required.
Development
  • Oversee fundraising activities carried out by staff, the Board, and the development committee. Supervise grantwriting consultants. Work with the staff and consultants to execute the annual appeal to individual donors, board-related fundraising; and donor cultivation and appreciation. Maintain the organization's funding plan in conjunction with budgeting and cash forecasting activities.
  • Prepare and submit all funding-related reports and documentation to ensure compliance with grant requirements. Working with the Executive Director, establish or maintain relationships with existing and potential institutional funders and partners.
Legal Administration
  • Work closely with the Legal/Policy Director to ensure efficient operations of the Legal Department.
  • Oversee IOLTA fund accounting.
  • Work with Legal/Policy Director to maintain compliance requirements and procedures according to licensing and operational guidelines.
Other Responsibilities
  • Support the Executive Director's relationship with the Board of Directors. Provide any necessary day-to-day operational information to the board and solicit input from board members as needed for financial, programmatic, and fundraising management. Attend meetings of the board and its committees. Assist all members of the board and committees in setting timelines and strategies for meeting their goals.
  • Represent the organization as needed at external events.
  • Other duties may from time to time be necessary to support the successful operation of the organization.
QUALIFICATIONS
  • Minimum of 4 years administrative management experience in the non-profit sector, with successively increasing responsibility including management of staff.
  • Significant experience in financial management, including budgeting and cash forecasting, preparing or assisting in the preparation of financial statements and reports, and bookkeeping using QuickBooks. Familiarity with the principles of not-for-profit accounting.
  • Experience in development, including individual and institutional fundraising, is strongly preferred.
  • Strong organizational skills, in order to institute efficient and scalable processes and improve them over time.
  • Strong leadership skills and the ability to inspire others to work together and improve their own work and the work of the organization.
  • Strong computer skills, including QuickBooks, MS Excel and MS Word. Experience with databases or fundraising software strongly preferred.
  • At least a 4-year college degree; specialization in progressive social movements or not-for-profit management preferred.
  • Background in and strong commitment to social justice and winning systemic social change. Strong familiarity with organizations committed to social change, and a deep commitment to NOWCRJ's mission – building the power and participation of communities across color lines to win real improvements in peoples' lives and to build a movement for economic and racial justice.

DESCRIPTION

To oversee the day to day functions of the women's shelter program including staff supervision and support, shelter resident relations, physical condition, and programmatic compliance relating to funders and owners. Ensures that the environment for clients is welcoming, respectful, supportive and trauma informed.
DUTIES AND RESPONSIBILITIES
  • Advocates for the mission of the organization and upholds the agency's values. 
  • Ensure the delivery of quality services through clear program procedures and guidelines. 
  • Develop and make recommendations on policies and procedures appropriate to the operation of the program. 
  • Ensure that such policies are consistent with our mission of treating shelter clients with respect and dignity, understood by all staff and volunteers, and implemented fairly and consistently. 
  • Ensure that policies and practices create an environment for clients that are based on trauma informed practices. 
  • Ensure that funder and regulatory policies are being complied with and all necessary documentation is complete. 
  • Ensure the facility meets quality standards by conducting regular physical inspections, with the Director of Facilities and individually. 
  • Ensure the program and facility operates in a safe manner at all times though regular contact with the Director of Safety. 
  • Participate in budget planning, track expenses, evaluate costs, and consider ways to conserve on costs. 
  • Identify projects for grant requests and collaborate with development staff on budget for projects. 
  • Provide clinical oversight and coordination for case management services for all women's shelter guests with Director of Social Services, women's shelter staff, and case advocates to ensure all shelter residents have an active case plan and assist shelter staff with supporting the clients as they work towards their goals. 
  • Provide clinical supervision, oversight and guidance to staff on those shelter guests with severe mental illness, chronic substance abuse and other complex needs.
  • Plan, develop, and maintain collaborations with social service, medical, and mental health providers that are helpful to our guests and workable for our staff and site. 
  • Complete reports and other program administrative duties in a timely manner. 
  • Work with Data Evaluation to ensure that HMIS is being utilized in accordance with program requirements, and to formulate effective program measurements and outcomes. 
  • Conduct regular supervision with program staff. 
  • Recruit BSW/MSW/LMHC student interns to be placed at the women's shelter and provide clinical supervision. 
  • Conduct job performance evaluations in a timely manner providing staff with feedback and opportunities for growth and development. 
  • Ensure appropriate staff coverage of all shifts. 
  • Actively participate in/facilitate staff meetings and training opportunities. 
  • Actively participate in the Management team through regularly scheduled meetings and day-to-day activities. 
  • Ensure that the programs are at all times in compliance with state and federal laws including in particular, fair housing. 
  • Be available and on call for emergencies at program sites. Other duties as assigned.

EXPERIENCE AND EDUCATION
Prefer a Master Degree in social work or related field with clinical experience working with substance abuse, mental illness and individuals with trauma histories. Licensing preferred. Minimum of 3 years of experience working in homeless services with some management experience preferred. Previous experience providing trauma informed care services. Experience working in shelter environment preferred.
KNOWLEDGE, SKILLS AND ABILITIES
  • Possess the ability to work independently with a high degree of self-motivation and initiative, and as part of a team. 
  • Capacity to manage and lead people. 
  • Must have good communication skills and be able to identify problems related to personnel management and be able to address them. 
  • Ability to develop goals and objectives. 
  • Ability to organize and prioritize work assignments. 
  • Ability to prepare clear and concise reports and correspondence. 
  • Ability to communicate effectively one-on-one in person and over the telephone. 
  • Knowledge of diverse populations. 
  • Ability to maintain confidentiality in all aspects of the work environment. 
  • Strong computer skills and data entry required. 
  • Requires verbal and numerical intelligence. 
  • Bilingual with the ability to speak and write Spanish is desirable

SUMMARY
The Field Canvass Director is responsible for hiring, training and supervising all canvassers employed by NARAL Pro-Choice Washington. The Field Canvass Director will work to maintain an energized team that educates and mobilizes the pro-choice majority of Washington.
DUTIES & RESPONSIBILITIES
Planning
  • In consultation with Executive Director write monthly, annual and long-term canvass plan and budget.
  • Work with other organizations when planning canvass, to ensure no dual canvassing.
Management and Supervision
  • Responsible for maintaining a steady and productive team of 4-8 canvassers.
  • Recruit, hire, train and manage canvassers who will contact the community through door-to-door outreach.
  • Implement canvass plan and evaluate nightly and bi-monthly performance to ensure fundraising and field goals are met.
  • Run daily meetings that motivate and inspire the team of canvassers.
Field Organizing
  • Work with the field staff to create and implement actions that support our current campaigns.
Fundraising
  • Lead by example in soliciting donations, identifying members and collecting signatures while in the field.
  • Develop canvassing strategy to meet or exceed the office goals for fundraising and membership identification.
Training
  • Train new canvassers and coordinate advanced training for experienced canvassers.
  • Debrief with field manager or individual canvassers at the end of the day to evaluate their effectiveness.
Other
  • Read and research to be personally informed as to the history, legal status, past and current legislation, general news and trends concerning abortion and all aspects of reproductive health care.
  • Perform such other tasks as are appropriate to this position and/or needed by the organization as decided and requested by the executive director.
MINIMUM JOB REQUIREMENTS
Experience
  • Field Manager experience required, Canvass Director experience preferred.
  • One year with non-profit or electoral work.
Technology
  • Intermediate ability to use Microsoft Word, Excel, Outlook, and PowerPoint.
  • Knowledge of design software such as Pagemaker, Publisher, or Photoshop preferred.
Other
  • Excellent oral and written communications skills.
  • Ability to work cooperatively with board members, staff, volunteers and the general public.
  • Highly organized and able to multi-task.
  • Ability to work and thrive in a fast paced political environment.
  • Ability to work overtime and irregular hours (nights and weekends).
  • Have a valid Washington driver's license.
  • Have access to transportation and the ability to travel in Western Washington when necessary.
  • Personal commitment to the protection of the fundamental right to choose a safe and legal abortion and ensuring the full range of reproductive choices for all women.
Physical demands include standing, sitting, walking long distances, talking, hearing, frequent use of telephone, occasional need to lift up to 25 pounds
