Job description

Black Women's Blueprint, a national feminist organization and convener of the first Truth Commission on Black women and their experiences with sexual assault in the U.S., seeks Executive Administrative Assistant who is self-starter and can hit the gound running. 4 days a week. The Executive and Administrative Assistant is critical to the successful and efficient running of Black Women's Blueprint. The Manager ensures implementation and maintenance of clear operational systems that allow Executive Director and staff to focus on programs. The Manager will therefore be an individual who embraces innovation and continuous improvement, is willing to get his/her hands dirty, and relishes the challenge of finding ways to work smarter and more efficiently.
This position works closely and collaboratively with other staff.
Duties and Responsibilities:
The Executive Administrative Assistant oversees the operations and finance at the organization.
  • Finance and Purchasing: Assists in managing budget and finances; oversees purchasing, reimbursement, bills, petty-cash.
  • Information and Reporting: Manages various organizational information systems and schedules.
  • Logistics (events): Helps plan and coordinates logistics for events, facility renters, conferences, and activities as needed, including meetings.
  • Management: Supervises office interns, helps address general office and administrative needs, and ensures the smooth operation of the administrative office, including mailings, attendance reporting, office machine maintenance.
  • Facilities: Manages and oversees the office facilities and physical condition.
  • Human Resources: Ensure that employees receive timely and accurate payroll and benefits.
  • Member Information: Assist with forwarding member email and other emailed interests, file and forward member and advisor applications, mailing lists, and meeting calendars.
  • External Relations: Acts as point person in scheduling and assigning the tasks of hosting visitors to the organization.
Qualifications:
  1. Demonstrated passion for and commitment to women's issues and racial justice.
  2. Multi-talented, passionate administrator and executive assistant who loves to organize and file - physically and digitally, be it Drive, DropBox or Evernote,etc.
  3. Strong project management skills, ability to juggle multiple priorities, and meticulous attention to detail.
  4. High level of comfort with financial oversight and budgetary tracking.
  5. Strong analytical and problem-solving skills.
  6. Ability to think and act strategically.
  7. Team player with strong interpersonal/influence skills.
  8. Proficient in Microsoft Word and ExcelGrit, flexibility, social intelligence, gratitude, and a sense of humor.
