Choices in Childbirth (CiC) envisions a world where every mother and child has access to maternity care that is safe, healthy, equitable, empowering, and deeply satisfying. Our mission is to improve maternity care by providing the public, especially childbearing women and their families, with the information necessary to make fully informed decisions relating to how, where, and with whom they will give birth. Our goal is to promote evidence-based mother-friendly childbirth options through public education, consumer advocacy, and pioneering policy reform efforts.
CiC seeks a full-time Administrative Assistant to provide day-to day support to the senior leadership team. The Administrative Assistant will work closely with the Executive Director to support organizational activities including database management, bookkeeping and financial coordination, internal management and communications.
REPORTS TO: Executive Director
Essential Duties
- Database Management
- Input gifts into donor database and process acknowledgements
- Process direct sponsorship payments and set up recurring payments for sponsorship
- Update and maintain donor database (eTapestry), including the creation and maintenance of defined fields for future reporting abilities
- Track and update all e-mail lists
- Generate targeted lists through report modules
- Build and maintain eCommerce pages for guide orders, provider sponsorship, free monthly workshops and other special events/opportunities as they arise
- Financial Coordination
- Prepare detailed bookkeeping reports itemizing monthly incomes and expenses
- Prepare payroll reports as needed
- Manage bill payment and anticipate upcoming organizational expenses
- Prepare bank deposits
- Maintain hard copy filing systems for income, expense, and shipping activities
- Update cash flow position workbooks as needed
- Organize all activity associated with yearly audit per CPA's requests; assist Executive Director and Finance committee to complete IRS filings
- Work with program and development staff members on financial reporting to funders
- Internal Management
- Manage office calendar including board meetings, payroll schedule, community events and employee vacation
- Assist in the management of Executive Director's calendar including business meetings, calls, speaking engagements and some personal appointments
- Assist in preparation for monthly board meetings including scheduling, logistics, and document preparation
- Maintain all board paperwork, including documents and minutes for all meetings
- Take minutes at board meetings (one Monday evening per month)
- Communications
- Update website content, ads, events and documents as needed
- Track inventory for and manage shipping of CiC's The Guide to a Healthy Birth
- Respond to requests for information, including written correspondence, email, and phone calls
Experience
- Bachelor's degree (or equivalent work experience)
- Keen understanding of eTapestry, Raiser's Edge, or comparable donor database platform required
- Experience with Microsoft Office applications (Word, Excel, PowerPoint) required
- Ability to create comprehensive financial reports strongly preferred
- Mail merge experience preferred
- Knowledge of Adobe (Photoshop, Indesign) or other desktop publishing software preferred
