SUMMARY

The person in this position will provide professional skills necessary for the operation and management of Greenhope's Phenomenal Woman Program (PWP). The PWP addresses the issues of women are most at-risk for or are living with HIV/AIDS and other STDs have access to and receive appropriate behavioral health services.



REQUIREMENTS

The competitive candidate will have Bachelor's degree or higher in the social sciences or relevant field. A minimum of one year supervisory experience. Strong knowledge of HIV and STDs including their transmissions. Good organizational skills and ability to work closely with the technical assistance consultants. Experience gathering data and generating reports. Knowledge regarding criminal justice institutions including basic protocols and procedures. Experience working with and administering grants.

DUTIES
  • Manage day to day activities of Greenhope's Phenomenal Women Program
  • Supervision of case managers to assist with obtaining community and on-site resources and provide support services to clients in the treatment programs
  • Ensure case managers conduct HIV & STD education workshop including pre and post testing, input data for GPRA and any other data base, complete service plans, etc.
  • Integrate HIV and STD Prevention activities within Greenhope's major Treatment Programs
  • Coordinate on-site groups and other prevention activities with Greenhope department directors and community agencies
  • Work with directors to ensure appropriate client referrals, coordinate case management activities with substance abuse counselors, family and other staff, and ensure PWP department obtain client documentations.
  • Monitor, review and ensure timely and accurate reporting for contractual and other funding sources. Audit case management charts periodically to ensure compliance.
  • Work with evaluation department and program director to create and maintain reports
  • Conduct, attend and participate in on-site, local and national meetings, conferences, coalitions, etc.
  • Other duties as assigned by supervisor.

DESCRIPTION

Under the direction of the Early Head Start Director is responsible for intermediate administrative support to the Early Head Start Program. Major tasks includes the coordination of data collection, program assessment, program evaluation and generation of reports and related documents. QUALIFICATIONS

Associate degree in secretarial science with a minimum of one year of professional experience providing services in a community-based setting. DUTIES & RESPONSIBILITIES

► Operate reception area greeting families, answering telephone, copying, filing, ordering supplies, maintaining petty cash accounts, and performing other clerical duties as required by the Program Director.
► Coordinates, documents and tracks pertinent data to meet the information and reporting needs for the program, evaluates the reporting/record-keeping requirements and recommends the best means of tracking data, gathers data and calculates information for the early childhood program.
► Gathers and complies data from a variety of sources, determines the most appropriate information source and researches program documents to locate specific information; completes forms/documents according to established instructions.
► Plans, arranges and coordinates specific meetings, events, operational meetings, conferences or other group events; anticipates needs, puts together the necessary information, copies, material/equipment needs and ensures readiness in advance of the activity.
► Completes other tasks as directed by the program director to meet the organizations' mission and goals.

The Senior Writer/Editor is responsible for ensuring that a large volume of written content advances Planned Parenthood's mission and enhances the organization's profile. The Senior Writer/Editor drafts or edits reports, op-ed pieces, guest articles, memos, partnership proposals, and other materials that inform, engage, and persuade key audiences. The Senior Writer/Editor reports to the Managing Director of Communications in Washington, DC, while working closely with the Vice President of Communications in New York.


RESPONSIBILITIES
  1. Identifies content that would advance PPFA's strategic goals, and then drafts it (such as issue-based reports, op-ed pieces, etc).
  2. Drafts content as assigned (reports, op-ed pieces, etc).
  3. Manages workflow independently and sets realistic deadlines that account for additional review from multiple stakeholders.
  4. Identifies research to include in written material and conducts the research or manages other staff to conduct it.
  5. Reviews large volume of material produced by other staff, particularly the Media Relations team (press releases, op-ed pieces, memos, etc), and edits it for content (clarity, consistency, and effectiveness). In some cases, rewrites material under tight deadlines.
  6. Works across divisions and functions to ensure that written material from Communications reflects the organization's positions and strategies well.
  7. Manages and contributes to other projects as needed.

We are currently seeking interns who can work with motion graphics . This internship will provide an opportunity for public acknowledgement of your work. The intern who is selected will have their name(s) listed on videos.

HOURS

The selected interns (we are looking for at least two) will be afforded the opportunity to attend a class on "Inbound Marketing" given by an industry expert. The "Inbound Marketing" class is given on four Saturdays in August.

After the class, the interns will be asked to give eight hours per week to video editing projects based on the techniques learned at the class. The intern will need to work eight hours per week in addition to the class. The selected interns will be able to determine their own schedule but must commit to agreed upon deadlines for delivery of work. The intern can work from home, but we ask for a weekly meeting to discuss and view the progress. The meeting can be a telephone meeting.

RESPONSIBILITIES
  • Be part of a team that will storyboard, video and edit videos for The Business of Me.
  • Design the motion graphics for the videos
QUALIFICATIONS
  • Pursuing Bachelors' degree or equivalent experience required

PRIMARY FUNCTION/PURPOSE

This position provides comprehensive administrative and production support for all Direct Response Fundraising efforts.

This position requires someone with initiative, good judgment, and excellent communications skills who can interface professionally with both internal and external constituencies including PPFA leadership, staff, outside consultants and vendors.

DUTIES & RESPONSIBILITIES
  •  Point person for all aspects of preparation of fundraising materials. This includes review of artwork for mail packages, proofing and vetting of copy for all mail, telemarketing, and canvassing marketing efforts.  Assures DR materials are accurate, meet deadlines, and are produced in accordance with internal standards as well as legal regulations.
  • Manage production QC processes for all out-of-house mail production. Approve ATPs, Data-Dumps, Counts, Mailplans, Art, Proofs, etc.
  • Represent Direct Response in production workflow meetings as well as meetings with other PPFA departments and outside clients.
  • Maintain hard and electronic filing systems for all production processes.
  • Manage communication with Professional Fundraisers for completion and execution of Solicitation Notices and Campaign Financial Reports
  • Perform special projects and other duties as assigned.
  • Route new and renewal contracts with Direct Response vendors for review and approval
POSITION SCOPE:  Responsible for meeting assigned objectives and contributing to Direct Response fundraising  objectives.  Maintains vital elements of cash flow, production, and messaging for the division.  Interacts extensively with other internal departments (Communications, Office of the COO, Finance), outside consultants, compliance, and accounts payable contacts at vendors.
PROBLEM-SOLVING:  Respond to problems or challenges that may affect the ability of DR to meet assigned goals and objectives.  Incumbent must research and integrate information from various sources to determine solution.  Flexibility and willingness to engage with others is essential.
KNOWLEDGE: Job duties require a thorough understanding of the principles, concepts and methodology of the profession, and the ability to apply such knowledge in professional settings.  Must be able to work independently and as part of a team.  Incumbent regularly provides services, advice and guidance to others.
FISCAL RESPONSIBILITY: Responsible for tracking DR revenue expenses and assuring that DR resources are used effectively when making decisions about expenditures.
CONTACTS:  Works regularly with PPFA leadership and staff in other departments/divisions, to produce work that meets performance goals.  Promotes diversity as a core value of PPFA.  External contacts are primarily with our creative/consultant vendor to execute high volume production schedule of telemarketing, mail and canvassing campaigns.   Must recognize the value of diversity and maintain relationships with staff and external audiences that respect individual dignity.
SUPERVISION:  Assists in supervision of division Temps and DR Coordinator.

REQUIREMENTS

Education:  Bachelor’s degree is required.
Experience:  Three or more years of directly related, progressively responsible work experience required.
Related Skills or Knowledge:
Ability to work collaboratively and flexibly with a dynamic, fast-moving team under pressure of tight deadlines; strong organizational, analytical and problem-solving skills, with the ability to coordinate projects and keep them on track; precise attention to detail; advanced computer skills, including Microsoft Word, Excel and Donor databases like Blackbaud RE or CRM; strong communication skills, both oral and written; ability to multi-task in a fast paced deadline oriented environment; tolerance of and sensitivity to diversity; and ability to complete multiple tasks with poise, accuracy and confidence.
