Position: Administrative Assistant for Supportive Housing and STEPS Scattered Sites Program
Hours: Monday-Friday, 8am-4pm
DUTIES & RESPONSIBILITIES
The Administrative Assistant is responsible for administering all activities required to maintain and enhance the operations of the Supportive Housing and STEPS Scattered Sites programs. Responsibilities include, but are not limited to: establishing and maintaining relationships with property managers/landlords regarding maintenance of apartments, maintaining leases, overseeing furniture and apartment supplies; and, providing administrative support to the management team such as, assisting with housing search activities, development of and participation in workshops/groups that promote focus on guest well-being and self-sufficiency, data management, and general clerical work. The goal of this position is to ensure efficient operations in order to obtain program and organizational goals. This position is non-exempt.
KNOWLEDGE, SKILLS, ABILITIES
  • Strong computer and Microsoft Suite skills; Word, Excel, and Powerpoint.
  • Strong organization skills and attention to details.

ABOUT THE POSITION

The President's Assistant is responsible for supporting the functions of the office of the President. RESPONSIBILITIES

Administrative (70%)

  • Assist with project management, including preparing materials for the financial audit and direct mail and fundraising vendors
  • Coordinate Executive Committee communication
National Board (10%)
  • Assist with forging positive relationships with board members
  • Staff board meetings and assist with logistics, including travel information
  • Take minutes during board meetings
Data Entry (20%)
  • Assist Membership and Field departments with updating the internal database, processing receipts and requests from members

QUALIFICATIONS
  • 2-year Associate's Degree in business or nonprofit administration, or previous experience staffing an executive level manager
  • Commitment to NOW's mission, purpose and values; knowledge of NOW's structure and involvement in feminist issues a real plus

BAGLY's Boston Programs Coordinator is a part time hourly position that reports directly to the Boston Programs Manager. RESPONSIBILITIES

  • Participate in the development, evaluation and long-term strategic planning of BAGLY's programs

  • Develop programming that supports BAGLY's ongoing work to address current and emerging needs of LGBTQ youth of color
  • Coordinate logistics and develop curricula for BAGLY's Leadership Development activities including; annual Youth Leadership Retreats and participation at national conferences and the BAGLY Speakers Bureau
  • Organize BAGLY's youth-led advocacy initiatives and support the development of new youth leaders through coordination of BAGLY's Queer Activist College program
  • Support the coordination of BAGLY's Social Support and Community Building programs, BAGLY's Youth Leadership Committee and maintain weekly social support drop-in spaces

QUALIFICATIONS

The NAF Hotline Fund is a 501 (c)(3) organization dedicated to providing accurate, unbiased reproductive health care information to women from diverse backgrounds and to providing callers with confidential consultation and referrals to providers of quality abortion care. The Hotline Fund also provides case management services to women with special needs and limited financial assistance to help subsidize care for low-income women. The Hotline provides services in English, Spanish, and French.

RESPONSIBILITIES

The Quality and Operations Assistant will work with both the Data Processing Manager and the Clinical Data Manager to provide administrative support to the Hotline. These duties will include:

•Sorting, entering, scanning, and filing data; •Providing support resources for members; •Analyzing and tracking compliance data; •Corresponding with members; •Maintaining the quality of documents; and •Helping provide compliance and quality trainings.

GENERAL SUMMARY OF DUTIES
The Administrative Assistant for the Healthy Families Program is responsible for administering activities required to maintain and enhance program operations. ESSENTIAL DUTIES OF THE POSITION
ADMINISTRATIVE SUPPORT: Provide administrative support to the Healthy Families team including special and routine projects, which include, but is not limited to: data collection, recordkeeping, data entry, photocopying, file organization and maintenance, processing of invoices, and other clerical work as needed. Assists with phone surveys, written participant satisfaction surveys, and participant focus group. Collects and aggregates data based on feedback from program participants. Reviews and updates immunization records for children in the HF program. Assists with putting together advocacy materials.
SERVICE COORDINATION: Serves as primary contact for referral sources and new referrals, including: Reaching out to new referrals by phone, mail, and email; Keeping a contact log; Maintaining communication with referral sources. Researches resources for participants' referral needs and ensures timely follow up with participants.
DATA MANAGEMENT: Manages and improves data collection systems and procedures to insure timely reporting for internal and external use; reviews data to identify issues and trends which affect program operations, service delivery and marketing; maintains departmental databases and other resources.
OFFICE MANAGEMENT: Organizes the Healthy Families office to insure optimal utilization of space and resources; Processes donations and purchases; Manages and monitors equipment maintenance and training to insure cost effective, quality operations and service delivery; Ensures that the office is always kept clean, orderly, and well-functioning.
MISCELLANEOUS: Performs other tasks as required to support and maximize the programs and services of the Crittenton Women's Union.
KNOWLEDGE, SKILLS & ABILITIES
  1. Ability to work independently, being proactive in identifying problems and finding solutions.
  2. Ability to communicate effectively, both orally and in writing with co-workers, participants, and CWU Partner organizations.
  3. Strong organization skills.
  4. Ability to understand and follow specific instructions or multi-step procedures, perform simple mathematical computations, and code or complete routine documents and forms. Attention to detail is a must.
  5. Ability to create, compose, and edit simple written materials.
  6. Word processing and data processing skills.

EDUCATIONAL AND OTHER REQUIREMENTS
A High School Diploma required; Associates degree preferred; 1-3 years of administrative assistant experience preferred; ability to type at least 40 words per minute; good understanding of Microsoft Office suite; bilingual in English and Spanish a plus.

This is a full-time Medical Assistant position that floats between Seattle, West Seattle, and Kent. The schedule is variable depending on the location and may include days or evening shifts, Mondays through Saturdays.

JOB SUMMARY

Front Desk Responsibilities: 

Performs tasks at the Front Desk including, but not limited to, checking patients in and out; selling supplies; answering phones; quoting fees; ordering and maintaining supplies; and a variety of clerical tasks. 

Conducts initial procedures for patients at front desk; completes supply sales, assists in data collections. 

Maintains patient accounts by obtaining, recording, and updating personal and financial information. 

Obtains revenue by recording and updating, financial information; recording and collecting patient payments; controlling credit extended to patients. 

Transfers medical records, interoffice and other medical facilities per PPGNW policies. 

Opens and closes the Front Desk and counts daily receipts. 

Back Office Responsibilities: 

Performs tasks at the Nurses Station including, but not limited to, preparing exam rooms, taking clients to exam rooms, assisting the clinician, performing lab tests, ordering and maintaining supplies, maintaining logs and manuals, and a variety of tasks which require demonstrating a knowledge of universal precautions, sterile technique and hazardous waste disposal. Ability to obtain a HCA license may be required. 

Performs laboratory intake (height, weight, blood pressure, urinalysis, hemoglobin, venipuncture, etc.) 

Opens and closes lab/back office area. 

Cleans and stocks lab and exam rooms.

Performs lab tests and lab specimens in compliance with lab and agency protocols and procedures.

Assists clinicians and doctors during surgical procedures.
