Executive Assistant & Development Associate
JWF has an exciting opportunity for an individual who is organized, detail-oriented, and responsible to support the Chief Executive Officer's daily activities and the fundraising efforts of this rapidly growing organization. The ideal candidate will be energetic, highly motivated, a self-starter comfortable working in a fast-paced environment, a problem-solver, and a person who can prioritize workload. The individual must also have excellent interpersonal and communications skills.
Job responsibilities include but are not limited to:
Executive Support
  • Manage Chief Executive Officer's calendar, scheduling and confirming appointments and coordinating travel arrangements;
  • Support Chief Executive Officer's preparation for meetings;
  • Work with other staff to coordinate Chief Executive Officer's speaking engagements;
  • Assist in preparation for Board meetings and take minutes at Board meetings and relevant committee meetings;
  • Take, transcribe and disseminate meeting notes;
  • Perform all bookkeeping functions, utilizing Quick Books, including preparing expense reports and reimbursements, in a timely fashion;
  • Assist with special projects in conjunction with Chief Executive Officer;
  • Provide other assistance as needed.
Development Support
Donor Relations:
  • Track progress on annual fundraising goals;
  • Ensure all donors receive timely acknowledgment letters;
  • Maintain and update information about donors in Donor Perfect;
  • Maintain systems for tracking relationships with prospective and current individual donors;
  • Ensure Board and Trustees are informed of donations from their contacts;
  • Coordinate outreach, invitations, RSVP tracking and follow-up from donor events;
  • Coordinate mailings and emails including end-of-year campaign and major events;
Donor Research:
  • Research prospective individual supporters, creating profiles for top prospects;
  • Create briefing documents in preparation for all face-to-face donor and prospect meetings as well as cultivation events;
Communications:
  • Update and maintain JWF's website with upcoming events and news;
  • Ensure organizational informational packets are well presented, and communications collateral material is kept up to date and stocked;
  • Lay out organizational emails and mailings;
  • Maintain email/mailing lists and ensure up to date contact information for all stakeholders.

  • Ability to work some evenings and occasional weekends;
  • 1-3 years of relevant work experience;

JOB SUMMARY
The Development Associate provides administrative support to the Vice President of Development, as well as some support to the Development team relating to donor stewardship. The Development Associate is part of the Development team and reports to the VP of Development.
ESSENTIAL JOB FUNCTIONS
Direct Administrative Support to VP of Development
  • Scheduling and Planning: This position is responsible for maintaining the VP of Development's calendar. Responsibilities include but are not limited to: handling travel arrangements, scheduling phone calls and in-person meetings, and collaborating in planning for staff meetings, special events, retreats, and conferences.
  • Communications: This position facilitates communication from the VP of Development. Responsibilities include but are not limited to: screening incoming calls, mail, and faxes, responding when necessary; attending various meetings, preparing agendas, summarizing notes, preparing and distributing minutes as needed; drafting and proofing correspondence.
  • Budget: This position helps the VP of Development manage expense reports, track financial/budget reports for the VP and, on an as-needed basis, compile updated expense information for the Finance team.
  • Data/Information Management: This position maintains records of donor correspondence and other related documentation to support the work of the Vice President. Tasks include but are not limited to: updating donor database as needed to track essential information from VP's contact with donors.
  • Clerical Support: This position will provide clerical support to the VP of Development, tracking ongoing projects and processes, developing workflow systems to increase efficiency, and handling any ad hoc projects.
Support to Development Team
  • Teamwork: Develop strong working relationships with staff in all areas of the organization. Actively participate in planning and meeting goals as an integral team member. Participate in cross-functional work-teams as appropriate. Assist with special projects as needed to support the Development team and the Global Fund for Women as a whole.
  • Donor stewardship: Support team-related projects such as semiannual impact report mailings and sends out donor acknowledgment and thank-you letters
  • Event Support: Assist Dev team with donor events including report and list generation, creation of invitations, RSVP process, event logistics, post-event follow up, including mailings of thank you letters and other event related tasks
  • Donor Research: Prepares Donor Briefs
  • Information Management: Provides gift entry and acknowledgment support at year-end, as needed
  • Miscellaneous: Follow the Global Fund policies and procedures. Carry out job responsibilities in a manner that reflects concern for personal health and safety and that of co-workers
ORGANIZATIONAL RELATIONSHIPS
Internal Relationships
This position reports directly to the Vice President of Development. In addition to daily working relationships with the VP, Primary Contact Managers, and all staff, the Development Associate will also have periodic contact with Board members.
External Relationships
As a representative of the Global Fund for Women, the Development Associate will have periodic contact with donors, institutional partners, vendors, consultants, and community leaders.
KNOWLEDGE, SKILLS, AND ABILITIES
Required:

Employment to begin as soon as possible after October 1, 2014. We are offering an exciting opportunity to the right Paralegal who is equipped to create a civil legal representation office from the ground up! Become a leader in the Court of Huntingdon County as an advocate for domestic violence survivors, work with rural survivors to create safer access to legal services in remote or isolated rural population centers, and provide education and advocacy about providing justice for survivors of domestic violence. All within a best practices model of survivor centered work.
The Paralegal will work closely with the Counseling/Advocacy staff of Huntingdon House to strengthen our continuum of services to create safer options and better avenues to justice for survivors who are fleeing domestic violence.
DUTIES & RESPONSIBILITIES
  • Conduct client interviews and maintain general contact with clients of the Huntingdon County Civil Legal Representation Project, who are victims of domestic violence, including conducting interviews and general contact at rural meeting sites. 
  • Conduct web-based case law, statutory and regulatory research. 
  • Maintain court schedule and calendar. 
  • Maintain legal project records and filing system. 
  • Draft and edit legal documents, correspondence and pleadings under the supervision of The Project Director. 
QUALIFICATIONS
  • At least one year of legal assistant experience in a litigation and family law practice, or a public interest law firm or similar setting is preferred. 
  • Knowledge of unique issues facing rural victims of domestic violence is preferred. 
  • Must possess excellent writing, proofreading, professional telephone skills and a willingness to develop and learn new skills. 
  • Excellent and demonstrated word processing required, knowledge of Excel spreadsheet, West Law and case management software is desirable.

TechWomen empowers, connects, and supports the next generation of women leaders in science, technology, engineering, and mathematics (STEM) from Africa and the Middle East by providing them the access and opportunity needed to advance their careers, pursue their dreams, and inspire women and girls in their communities.
The Program Officer will support the TechWomen team in managing projects and leading communications efforts. This individual will lead and manage our communications strategy, with special focus on relaying the program's impact to stakeholders and a broader audience. The Program Officer will also manage and support M&E, draft State Department reports, and be the main point of contact for TechWomen participants. In this role, the Program Officer will also lead the effort in creating pre-departure materials to help the participants understand the objectives of the program and acclimate to the Bay Area. DUTIES & RESPONSIBILITIES
Program Communications & Administration
•Work with the team to develop communications plan. Plan includes the creation and production of materials, presentations, social media planning, media relations and presentation development.
•Post to social media channels, write and edit blog posts and assist with website updates, as needed.
•Oversee Program Associate's social media plan implementation by reviewing posts and tweets and ensuring adherence to timeline and content.
Monitoring and Evaluation (M&E)
•Track and analyze program progress against key indicators and advise on areas of opportunity.
•Develop easy to use monitoring and data collection tools as necessary.
•Prepare impact reports and presentations for sponsors and general program updates.
•Draft and submit sponsor reports.
Participant and Program Management
•Lead and communicate with Selection Committee members, organize committees, review and prepare materials and applications, facilitate committees and prepare lists for US Embassies in 21 countries.
•Support TechWomen participants in preparation for their time in the US and as needed post-program. This includes email communications, webinars, pre-departure and orientation materials and preparations.
•Conduct outreach in 21 countries to recruit new program applicants. This includes social media outreach planning, email communications, identifying and communicating with outreach partners in Africa, Central Asia and the Middle East. Create region and country specific outreach materials and manage translation projects, as needed.
•Responsible for complying with applicable contract and sponsor requirements and following all IIE policies and procedures.
•Perform other related duties and functions as assigned.
EDUCATION/EXPERIENCE
•Undergraduate degree in related field, and at least 2 years related experience and/or training; or an equivalent combination of education and experience required.
•Program management experience including budgeting, maintaining client relationships, and delegating tasks and responsibilities in a complex, deadline-oriented environment preferred.
KNOWLEDGE, SKILLS & ABILTIES
•Experience working on projects involving complex details requiring well-developed organizational, time-management and administrative skills.
•Proven experience with web-based and social media platforms.

DUTIES & RESPONSIBILITIES
  • Primary point person for updating, adding and maintaining donor and prospect records in database. Prepare financial, donor and related reports.
  • Primary point person for complex queries, data pulls and reports.
  • Process donations and prepare acknowledgement letters and other correspondence. Responsible for data integrity and data hygiene.
  • Maintain individual and corporate donor files. Maintain event and project database and conduct event analysis.
  • Conduct research on donors and prospects, including individuals, corporations and foundations, identified by Vice President of Business Development as potential sources of funds for specific projects and programs.
  • Develop materials for posting on association website, including but not limited to donor/sponsor recognition, program updates, et al.
  • Assist with implementation of benefits of AIM members, exhibitors, sponsors and business partners.
  • Respond to phone calls and email inquiries regarding charitable giving, exhibits and sponsorship.
  • In collaboration with the Vice President, research and identify appropriate target audiences, conceptualize and write appeal letters, design and develop other related materials to support fund raising appeals and evaluate and analyze solicitation results.
  • Work collegially with other departments, seeking opportunities for collaboration, member appeal and benefit enhancement, donor recognition and prospect identification.
  • Work with finance team to ensure maintenance of accurate accounting of all restricted and unrestricted donations.
  • Support the Vice President and the Development Committee in implementation and development of activities for individual charitable giving (Every Woman, Every Baby campaign), the AWHONN Industry Member (AIM) program and restricted grant activities and other initiatives as assigned.
QUALIFICATIONS
Bachelor's degree or equivalent in related field. At minimum of three years of related experience and a proven track record in fundraising required, preferably in a not for profit organization. At least 3 years of administrative experience supporting projects and programs at progressively higher levels positions preferably in a not for profit, healthcare/medical association or professional society. Knowledge of fundraising information sources. Knowledge and familiarity with research techniques for fundraising prospect research.Knowledge of basic fundraising techniques and strategies. Proficient in research interpreting and analyzing diverse data and possess the ability to work collaboratively and independently to achieve goals.Demonstrated proficiency in creating complex queries, mail merge and maintaining databases. Experience with iMIS preferred. Strong organizational, administration and interpersonal communications. Analytical skills and an ability to identify and utilize information resources. Ability to prioritize multiple and constantly changing tasks/projects, remain flexible often under very tight deadlines. Ability to work well at all levels in the organization. Demonstrated proficiency with Microsoft Office applications including MS Word, Excel, Access and PowerPoint. Experience in donor tracking and moves management desirable. The National Abortion Federation (NAF), the leading pro-choice organization representing abortion providers and their patients, has an immediate full-time opening for the position of Receptionist & Office Assistant.
The Receptionist & Office Assistant serves as NAF's receptionist and provides administrative assistance to NAF and the NAF Hotline Fund staff.
DUTIES
  • Answers member and other inquiries by telephone and email, including routine requests for information, or forwards requests to appropriate staff member;
  • Alerts building staff about visitors, greets office visitors, and maintains visitor register;
  • Receives, inspects, and sorts office mail; processes outgoing mail;
  • Logs incoming checks and makes electronic deposit slips;
  • Monitors office security camera system;
  • Fills publication orders;
  • Maintains office supply records/inventories;
  • Coordinates and oversees routine maintenance and repairs to office equipment including copiers, fax machines, and postage machine;
  • Maintains staff lists and organizational charts;
  • Schedules orientations for new staff;
  • Coordinates staff anniversary celebrations; and
  • Provides general administrative support to the Training and Education and other departments of NAF and the NAF Hotline Fund.
QUALIFICATIONS
  • Strong commitment to a woman's right to choose abortion;
  • Excellent communication skills and phone etiquette;
  • Strong organizational skills;
  • Flexibility and the ability to work under pressure; and
  • Knowledge of Microsoft Office Suite Software.

UltraViolet is an online community of women and men fighting to expand women's rights and combat sexism everywhere—from politics and government to media and pop culture. We're looking for an Executive Assistant to support our Equality & Culture Project in schedule management, presentation preparation, human resources administration, logistics coordination, and other duties as needed.
With over 500,000 members across every state and congressional district, we make our voices heard to further the cause of full equality, empower women, and fight attacks on women's rights. Since our launch in early 2012, millions have spoken out in favor of fair pay, equal representation, and health care, and protested against far-right attempts to control women's health and lives. We've successfully campaigned to have Facebook add the first woman to its corporate board, got over a hundred advertisers to drop the Rush Limbaugh show, pushed Reebok to withdraw its sponsorship of rapper Rick Ross due to his sexually violent lyrics, and forced the architect of the Komen Foundation's decision to defund Planned Parenthood to resign.
Equality at a higher frequency is what we're all about.
THE POSITION
The UltraViolet Executive Assistant would work closely with the Campaign Director and staff of UltraViolet's Equality & Culture Project to ensure that the daily operations of the project run smoothly. The person in this position would be charged with ensuring timely and efficient management of the Campaign Director and key staff's schedules, including interactions with donors and foundations, political leaders, and nonprofit allies. The Executive Assistant will manage travel and financial reimbursements, prep background materials for important meetings, assist in logistics arrangements for events, and be a resource to key project staff.

The Executive Assistant will report to the Campaign Director, Equality & Culture Project.
RESPONSIBILITIES
Schedule Management:
  • Schedule and arrange meetings and activities for the Campaign Director and key staff
  • Prepare background materials on upcoming meetings for the Campaign Director as needed
Meeting & Event Logistics:
  • Coordinate schedules, arrange conference lines, and handle all logistics for in-person meetings on behalf of the Campaign Director and key staff
  • Coordinate logistics for in person or phone/videoconference meetings among Project staff as necessary
  • Prepare briefings and documents before meetings as necessary
  • Coordinate logistics, including vendor contracts, for project events across the country
Travel Logistics:
  • Handle travel arrangements for the Campaign Director; assist other Project staff with travel arrangements as needed
  • Manage expense reimbursement requests for the Campaign Director; assist other staff with reimbursement requests as needed
Staff Support
  • Develop reports and presentations in Microsoft Excel, PowerPoint, and Word as requested
  • Handle office needs such as printing and mailing documents, purchasing office supplies, and more
QUALIFICATIONS
The ideal candidate is detail-oriented, comfortable juggling multiple tasks, excited to work in a fast-paced environment, and able to work both independently and take direction. A professional demeanor and comfort interacting with people in positions of power, including partner organizations and donors, is crucial, as is the ability to manage up. Strong writing skills and experience gathering and synthesizing important background information are a must. A sense of humor and ability to work with our small and growing team is a must. Specific qualifications include:
  • At least two years experience in a role providing administrative support
  • An extremely detail-oriented nature
  • A self-starter who can work independently, but who is also able to take direction and run with it
  • Flexibility, including the ability to provide evening or weekend support as needed
  • Expertise at Microsoft Office Suite (especially PowerPoint and Excel) as well as Google Documents
  • A high degree of professionalism and tact, as well as a respect for confidential and sensitive and information
  • The ability to proactively anticipate needs and plan at a moment's notice
  • Strong analytical and problem-solving skills
  • Comfort with a virtual office.
  • Knowledge about political and cultural issues related to women's issues is a plus
  • Familiarity with HTML and Photoshop (or similar programs) is a plus

Brief Job Summary

Girls Who Code is searching for a detail and results-oriented Operations Manager to support Girls Who Code's growth.The Operations Manager reports directly to Senior Management and is responsible for administrative tasks, including human resources, finance and IT support.

Duties & Responsibilities

  • Overseeing various data entry and data analysis projects
  • Creating and maintaining accurate electronic and paper files and documents
  • Providing support to Senior Management, Program Managers, and Lead Teachers on assigned special projects including:
  1. Track and analyze student enrollment, retention, and achievement data
  2. Creating and producing value-added detailed reports (using various database management systems and MS Excel) from raw data to identify program performance
  3. Assure data standardization, integrity of data and operational accuracy of reporting systems
  4. Finance and Administration (A/P, A/R, and budgeting)Human Resources (recruiting, payroll, orientation and training)
  5. Facilitating distribution and collection of required documents and reports for both office projects and program sites
  6. Timely and accurate completion of official forms required for invoicing and payroll
  7. Providing remote and on-site support or management to GWC programs
  8. Data entry and Salesforce support

Minimum Requirements 

Bachelor's degree, 3-5 years of professional work experience, must be proficient with Microsoft Office (particularly MS Excel and Word); must be able to work independently with minimal supervision within the context of a larger team; and must be able to pass a criminal background check.
