JOB DESCRIPTION
Nontraditional Employment for Women (NEW) is seeking a Program Assistant to provide administrative support and to coordinate various program initiatives. The position works closely with program staff and reports directly to the Executive Assistant. Responsibilities include:
  • Maintain and monitor NEW's performance-based contract tracking systems;
  • Data entry, conduct quality reviews of data entry, and system information;
  • Assist in maintaining program and contract files;
  • Assist with the collection of documents from applications, students, and graduates;
  • Provide follow-up via phone or mail for training applicants, students, and graduates;
  • Collect, analyze, and report program statistics including recruitment, training, employment, and retention;
  • Schedule regular events for NEW students and graduates;
  • Maintain ordering and delivery of program instruction materials, supplies, and tools;
  • Scheduling space for internal meetings and keeping classroom calendars up to date;

QUALIFICATIONS
The ideal candidate will be self-motivated and flexible. S/he has excellent interpersonal skills, and enjoys working with a variety of people. RESPONSIBILITIES

  • Process donations and prepare acknowledgement letters and other correspondence.

QUALIFICATIONS
  • H.S. Diploma or equivalent required.

Job Summary

Imagine Housing seeks an organized, detail-oriented and motivated individual to join the Imagine Housing Philanthropy Team. The Philanthropy Administrator will be the main "keeper of information" and database administrator. The Philanthropy Administrator's dedicated support will enable Imagine Housing to build authentic, meaningful and lasting relationships with Imagine Housing's supporters. The Philanthropy Administrator also will offer critical administrative support to the Annual Fund Manager, Director of Philanthropy and Executive Director.

The position reports to the Director of Philanthropy, with the potential for growth and leadership in this nimble and ever-growing organization. This position also offers a tremendous opportunity for the right person to join our staff, Board, and over 150 volunteers in building and preserving high quality affordable housing and delivering supportive services to low-income individuals and families in East King County.

Primary Duties

Database Management (50%):
  • Input, track and update donor information in Raiser's Edge.
  • Enter and process all gifts received and ensure they are coded correctly.
  • Work with, train and support the Philanthropy Team and Executive Director in entering notes, actions, and tracking relationships and proposals.
  • Conduct quarterly maintenance within Raiser's Edge to ensure data integrity.
  • Create reports and complex queries as requested to support fundraising goals.
  • Create and manage mailings and mailing lists for all invitations, save the dates and mailing campaigns throughout the year.
  • Manage the Philanthropy Policies and Procedures manual and update as changes happen.
  • Work with the Finance team to reconcile accounts and sync systems.
  • Import all gifts and information from Greater Giving to Raiser's Edge in a timely manner after all events. Track invitees, attendees and gifts in Raiser's Edge.
  • Be the point-person for all Raiser's Edge questions and troubleshooting.
  • Assist in the development of new database processes to meet current and future fundraising goals.
Administrative Support (25%):
  • Prepare materials for all upcoming donor and outreach meetings, including having informational packets prepared for unexpected meetings that arise.
  • Schedule meetings for Philanthropy Team members and send meeting invites and reminders.
  • Conduct internal (database) and external (web) donor research.
  • Keep all department files maintained and organized.
  • Collect notes from team members' donor meetings and enter information into Raiser's Edge.
  • Draft accurate, personalized and timely donor recognition for gifts; ensure thank you notes go out within 48 hours.
  • Take lead role in collecting volunteer hours from Department Directors and Supportive Services Team and inputting into the donor database.
  • Perform other administrative support duties as assigned.
Event Support (Seasonal):
  • Provide administrative, logistical and event support for Imagine Housing's annual Auction, Opening Doors Breakfast, house parties and other smaller events as they arise.
  • Create and send e-invitations and e-save the dates via Constant Contact.
  • Coordinate volunteer management for the Auction and Opening Doors Breakfast.
  • Own the procurement process for the Auction, including managing relationships with Board members and tracking all procurement using Greater Giving.
  • Support the Annual Fund Manager as necessary.
Communications (10%):
  • Keep Imagine Housing's website up to date (WordPress platform).
  • Oversee social media, giving Imagine Housing a daily presence on Twitter and Facebook and utilizing LinkedIn, YouTube and other platforms as necessary.
  • Collect and post weekly blog articles, providing reminders to staff and volunteers to submit their articles on time for posting.
  • Compile and send monthly or quarterly e-newsletters via Constant Contact.
  • Keep updated on current housing news and events to promote via social media.
  • Manage Imagine Housing's online giving pages via NetCommunity and Greater Giving.
Capital Campaign (10%):
  • Manage pledges and billings, including invoicing, billing and receipting of gifts.
  • Prepare packets and information for donor meetings.
  • Support the public phase of the Capital Campaign through social media, e-mails, website updates, and more.
  • Manage ever-changing donor prospect lists and transfer information into database. 
Secondary Duties (5%):
  • Assist with coordinating community outreach presentations and events throughout the year.
  • Order name tags for staff twice a year.
  • Order branded merchandise for events and programs as necessary.
  • Other duties as assigned.

  • Proficiency in the Microsoft Office Suite with particular proficiency working with Excel and mail merge.
  • Experience working with WordPress or another website platform or knowledge of HTML.
  • Familiarity with social media platforms, including Facebook, Twitter, LinkedIn and YouTube. 

Work Schedule

Position is a full time (40 hours per week), hourly, non-exempt position. Hours worked will be weekdays between 8:00 a.m. and 5:00 p.m, or a mutually agreed-upon schedule. Occasional overtime, evening and/or weekend work also may be required.

Salary and Benefits

Hourly range is from $16 - $21/hour, with actual hourly rate determined based on experience. Benefits include paid holidays, sick and vacation leave, company-paid medical, dental and life insurance and 401(k) matching contribution.

SUMMARY

The Political Intern is responsible for supporting NARAL Pro-Choice NY’s legislative advocacy strategy to advance reproductive rights in New York State. He or she will also assist in NARAL Pro-Choice NY’s preparations for the 2014 election.

PRIMARY RESPONSIBILITIES
  •   Research lawmakers and legislation. Advise NARAL staff on findings.
  •   Assist in the creation of educational materials for lawmakers.
  •   Collaborate with other members of the Political and Legislative Affairs team in planning a
    pro-choice lobby day in Albany.
  •   Research candidates running throughout New York State.
  •   Facilitate the candidate questionnaire process and correspond with campaigns.
  •   Maintain databases.

POSITION SUMMARY

The Manager, Donor Operations is responsible for managing all donor operations including database, research and reporting, departmental budget, constituent tracking and reporting systems.

RESPONSIBILITIES
  • Manages the daily operation of the Raiser's Edge database
  • Implements data entry strategy to produce customized reports for Development staff
  • Performs quality control of the database by ensuring the standardization of data and coding and by developing systems and processes
  • Ensures the accuracy and integrity of Raiser's Edge through regular cleanup of the data, including National Change of Address (NCOA) quarterly requirements
  • Handles all daily data entry, including gift entry, capturing donor relationships, actions and notes when needed
  • Processes all gifts, including all received donations from phone-in, recurring gifts, online donations and pledges
  • Produces acknowledgments for all individual donors and all events donations
  • Conducts ongoing staff training support and knowledge sharing to maximize the use of Raiser's Edge
  • Troubleshoots relevant issues with Finance, Information Technology and Communications staff (for Convio), including regularly reconciling financial records and synching Convio with Raiser's Edge
  • Anticipates and coordinates software upgrades as needed
  • Provides support for Direct Mail solicitations for the consultant and internal stakeholders
  • Creates segmented lists and some production supervision for multiple direct mail solicitations annually, which includes ensuring that all deadlines for deliverables are met
  • Provides monthly revenue reports, as well as ad hoc stats, and analysis reports
  • Manages the filing of state charitable registrations for solicitations in direct mail
  • Provides weekly and monthly reports for revenue including the management of the route-to-revenue budgetary goals
  • Meets with the Development Directors monthly to ensure they are on target to revenue budgetary goals
  • Develops and manages monthly expense reporting for the department
  • Reconciles revenue and expenses with Finance on a weekly and monthly basis
  • Provides directors with timely donor research on major donors, foundations, and event donors
  • Manages the upkeep and subscriptions of research tools
  • Ensures effective and efficient daily updates on major donors and board members
  • Provides CEO with timely background information and research before donor or foundation visits, events or trips
  • Supervises the Development and Special Projects Assistant and Research Assistant to provide support to all departments, manage the entry of data, and assure quality donor service through timely acknowledgments and replies
  • Provides support to Giving Circles, including but not limited to gift data entry, acknowledgments and monthly reports
  • Ad-hoc work on Convio ranging from troubleshooting Convio/Raiser's Edge sync, retrieving stats reports, cleaning up duplicate records, and updating behind-the- hood coding for online donation pages
  • Fulfills donor requests ranging from questions about the Foundation, how to make a donation, acknowledgment letter re-issue, and updating mailing list opt outs
  • May supervise interns as needed
  • Other special projects as needed
QUALIFICATIONS & REQUIREMENTS
  • Minimum of 5 years of experience in non-profit fundraising donor database management with a minimum of three years of experience managing Raiser's Edge
  • College degree required
  • Three years of experience in developing business rules and documentation for donor databases

  • Coordinating with various aspects of fundraising for special annual events, including assisting with logistics and speakers, for benefit luncheons and/or dinners
  • Providing support and resources to the Israel Office – track and manage pledges for the Israel Granting Program (IGP) and provide information on prospective IGP donors to staff and lay leaders; assist with coordination of missions to Israel
  • Conducting research for prospects and donors, using online research, donor search engines, and collection of anecdotal information
  • Providing additional staff support to committees as assigned
  • Conducting ad hoc research projects as assigned
  • Assisting with national meetings, major donor events, cultivation and recognition events, as well as leadership/training meetings
  • Coordinating event related fundraising and tribute gifts
  • Overseeing the acknowledgment process and editing acknowledgement letters
  • Serving as liaison to consultants as needed
  • Assisting in the maintenance of the Raiser's Edge system, including inputting relevant donor data and generating reports
  • Assisting with corporate giving strategy
  • Performing other job related duties as required

QUALIFICATIONS
  • BA degree from 4-year accredited college/university
  • Minimum three years of progressively responsible fundraising experience, preferably with a nonprofit organization
  • Knowledge and experience with fundraising database programs and search engines, specifically Raiser's Edge and Research Point/Target Analytics
  • Strong analytic and problem-solving skills
  • Excellent verbal and written communications skills
  • Exceptional interpersonal and collaborative skills
