POSITION SUMMARY
Step Up's events are crucial to the overall success of the organization and serve many purposes– they are tools for engaging and stewarding our members and donors, a means to amplify our message in the community and in the media, a way to bring our members and teens together for mutual mentorship, and a tool for our supporters to network with each other. Through the strategic use of social media, e-communications, and outside-the-box methods, Step Up is constantly striving to stretch our reach and engage new supporters through these events. The Events Manager plays a vital role not only in the successful execution of Step Up's events, but also in widening and strengthening Step Up's network of supporters. The ideal candidate is an enthusiastic professional with a love for and experience in planning, executing and marketing events and for messaging the impact and work of Step Up through events and programs for both teens and members.
DUTIES & RESPONSIBILITIES
Event Planning & Production Management
  • Collaborate with local and national team to plan and execute approximately 40 meetings and events per year (executing programs that inspire women to inspire girls, that bring women and girls together for mutual mentorship, that raise funds to support Step Up's mission)
  • Collaborate with local team members to ensure each event aligns with the organization's mission and plan for the year as well as represents Step Up's brand appropriately
  • Work in unison with local and national team members designing each event's programming to plan effectively and achieve high quality by creating event timelines and managing task lists
  • Coordinate with the events managers in Chicago and New York to develop best practices in executing Step Up events as well as to streamline activities across cities.
  • Strategically build relationships with vendors to either provide all event needs through donations or significantly discount prices of venue, food, beverages/liquor, lighting, audio visual, rentals, etc.
  • Negotiate and secure contracts for event space, food and beverage, lighting, audio visual, rentals, etc. for all Step Up events
  • Manage the Los Angeles online auction
  • Engage and manage an ongoing committee of volunteers to support each event (by leveraging their contacts and/or and staffing the events)
  • Ensure that sponsor needs are accounted for in each event, and provide excellent customer service in working with sponsor teams as directed in each event by management
  • Manage all event supplies in creating supply lists, placing orders, and transporting
  • Plan and execute room layouts for each event that best support event goals and creatively incorporate sponsors within the space
  • Manage all on-site event set-up, production, volunteers, and clean up
  • Prepare event materials such as signage, nametags, handouts, notebooks, speaker preparation packages, attendee packages, gift bags, registration lists, seating cards, and the like
  • Ensure each event is photographed within Step Up guidelines and requirements
Event Administration
  • Manage the Step Up Los Angeles event calendar
  • Collaborate with the events managers in Chicago and New York to devise and execute best practices and strategies
  • Conduct data entry relating to events
  • Send thank you notes
  • Keep track of event finances including check requests, invoicing, and reporting
  • Draft event surveys with input from team members, and perform other regular program evaluation measures to improve and innovate events
Marketing
  • Identify & execute strategies to utilize Step Up Los Angeles events to achieve short & long-term national marketing goals.
  • Create event messaging/marketing, including event invitations and onsite signage & décor
  • Plan and oversee all social media efforts for the Step Up Los Angeles office
  • Manage the e-communications calendar for the Step Up Los Angeles office
  • Manage content for the Step Up Los Angeles website calendar
Office Administrative Support
  • Participate in weekly staff meetings, monthly national staff meetings, and an annual staff retreat (January)
  • Perform general office administrative needs and support including research, data compilation and entry, filing, mailing, running errands, and the like as needed
  • Recruit and train office interns
QUALIFICATIONS
The ideal candidate will meet the following criteria:
  • Deep understanding of event management requirements and previous direct experience managing events
  • Bachelor's degree in a related field
  • At least 2 years work experience in a related field
  • Excellent relationship-building and networking skills
  • Ability to work well with multiple constituencies (staff, teen program beneficiaries, member leaders and volunteers, board members, senior level executives, sponsors, and donors)
  • Self-starter and fast-learner who does not require heavy supervision and copes well with change
  • Ability to multi-task in a fast paced environment
  • Attention to detail and ability to deliver quality, professional work
  • Strong written and verbal communication skills and interpersonal skills
  • High level of organization and efficiency
  • Negotiation experience
  • Ability to work occasional evenings and weekends

POSITION SUMMARY

The Manager, Special Events reports to the Director, Major Gifts and Events and manages special fundraising events for the Ms. Foundation for Women to raise revenue and brand awareness. This includes the largest annual fundraising event, the "Gloria Awards," as well as fundraising and donor cultivation events of various sizes and scope in cities across the country.

RESPONSIBILITIES
  • Works with the Director, Major Gifts and Events, to manage all facets of the successful execution and growth of the Gloria Awards, the Foundation's annual fundraising event in New York City, including event leadership identification, management of the event planner and venue, work with honorees and guests, and budget management
  • Manages the production of all donor events including all print collateral development including invitations, menus, journals, programs and decorative elements including centerpieces and displays for all events.
  • Manages the promotion for all donor events, including interactive evites, website content, videos, photo distribution and display, and social media opportunities
  • Manages all auction, text to pledge, and raffle opportunities for donor events
  • Creates and manages timelines for all events and review with staff and management on a regular basis
  • Develops persuasive sponsorship, honoree, and table/ ticket sales letters
  • Helps develop benefits that will appeal to potential sponsors
  • Manages regional cultivation and fundraising events, including the identification of leadership and support structures, regional consultants, budget and revenue projections and successful implementation strategies
  • Manages and recruits volunteer staff for special events
  • Manages the maintenance of strong donor database records for events including seating charts and other lists
QUALIFICATIONS
  • Minimum of two years of experience in non-profit fundraising special events at a Manager level
  • Experience in a national organization preferred but not required
  • College degree required
  • A strong track record in all facets of special events including fundraising
  • Superior communications and organizational skills

The Community Organizer is the front-line sales representative in the local Avon Walk Washington, DC market responsible for the recruitment of Avon Walk for Breast Cancer participants. ESSENTIAL JOB FUNCTIONS

SALES, RETENTION, EVENTS, AND CUSTOMER SERVICE

SALES:
  1. Represent the Avon Walk in the local market by serving as the lead sales representative for the event to a variety of audiences (Leads, Participants, general public etc.).
  2. Works diligently to convert Leads to registered Walkers through excellent phone, email and in-person tactics.
  3. Maintains a desire and pace for sales and achieving results through enthusiasm, knowledge and energy when working interested parties (Leads) using strong in-person selling tactics and abilities.
  4. Plan and execute Avon Walk informational meetings (Orientation Meetings) in the local market.
  5. Deliver prepared sales communications that completely describe the Avon Walk for Breast Cancer event in order to persuade potential participants to donate or participate in our Event series.
  6. Adjust sales communication to continually target the needs and interests of specific individuals interested in the Avon Walk for Breast Cancer to achieve event recruitment goals.
OUTREACH & LOCAL EVENTS:
  1. Plan and execute Lead-generating activities (outreach events and other grassroots marketing and sampling opportunities etc.) in the local market.
  2. Identify and solicit potential corporations or organizations for participation in the Avon Walk event and to host informational meetings for employees.
  3. Plan and execute special sales events in the local market (such as a Kick Off events, special recruitment-focused events, etc.).
  4. Plans and executes retention-based meetings and events for currently registered participants for the Avon Walk for Breast Cancer events.
CUSTOMER SERVICE:
  1. Offer impeccable customer service to interested parties relative to recruitment, event fundraising and training information by way of leadership, motivation and knowledge.
  2. Performs other related duties as assigned by management (such as researching and/ or staffing outreach events, unique duties assigned while working actual events, and various administrative tasks).
KNOWLEDGE, SKILLS & ABILITIES
  1. Minimum 2 year of progressively responsible customer service experience in a high-paced environment, preferably in the area of high-volume, customer relationship management.
  2. Strong sales skills and experience as well as interest in sales and customer service.
  3. Demonstrated ability to provide leadership, organize fundraising activities effectively, and participate in high-level customer service support.
  4. Excellent verbal and written communication skills, including strong organizational, detail and interpersonal skills.
  5. Excellent public speaking skills.
  6. Experience fundraising and training for an outdoor athletic event and the ability to motivate others to fundraise and train to walk in a long-distance event.
  7. Demonstrated project management skills, including facility in managing and prioritizing projects with multiple and often competing deadlines, and ability to work under pressure.
  8. Proven ability to deliver high-touch customer service and work with customer relations management (CRM) database systems (e.g., keep contact logs, conversation notes, and implement follow-up flags).
  9. Ability to work very independently from a home office, to work under supervision, and to work in a team-based and goal-oriented environment.
  10. Proficient with the PC and Microsoft Office, specifically Word and Excel.
  11. Ability to communicate with employees and other agency contacts in a courteous and professional manner. This includes client interactions with the Avon Foundation and its affiliates.
  12. Ability to work evening and weekend hours. During the high sales season (January-April), ability to work a varied schedule of Tuesday-Saturday.
  13. Ability to work 3 + Avon Walk for Breast Cancer events which means a 6-day commitment per event. Employees may work a minimum of 3 events with strenuous physical activity with possible continuous lifting of up to 50 pounds. Ability to stand for 16 hours daily over the course of the event. Ability to work at varied hours; event preparation can entail early morning and late night activity.
  14. Local and national travel required.
EDUCATION & EXPERIENCE

Bachelor's degree preferred. Proven success in customer relationship management software. Experience in special events for not-for-profit institutions or charitable causes. Direct, personal experience with fundraising programs, as well as long-distance walking and physical training programs. Strong experience in organizing, coordinating, and motivating groups of event participants, and volunteers. Familiarity with CRM programs.

MAP for Health is a community-based, nonprofit organization that works to improve healthcare access, disease prevention and service delivery for the API community in Massachusetts. Asian Pride (AP) is a youth development program that provides services for lesbian, gay, bisexual, transgender, and queer (LGBTQ) youth of Asian and Pacific Islander descent. The program serves as an open, safe space for youth ages 16-24 to explore their cultural identities and sexual orientation while building community and leadership skills.

GENERAL RESPONSIBILITIES

The Program Manager plays a central role in the management, development and coordination of the Asian Pride Youth Program. S/he has an abundance of energy and is fearless in outreach efforts. The Program Manager is not afraid of failure and is constantly searching for areas of improvement. S/he also must enjoy working with youth and acting as a mentor and role model to our young peer leaders and clients.

Responsibilities include, but are not limited to:

Grant/Contract Management
  • Manage program budget, resource allocation and reporting requirements
  • Develop and utilize program timelines/workplans to ensure timely completion of deliverables
  • Frequently review program activities to ensure quality, consistency and accuracy of work outcomes
  • Conduct basic risk assessments and screenings
  • Create and facilitate workshops, attend group meetings and trainings
Managerial

  • Represent MAP at various venues throughout the year

QUALIFICATIONS

  • Outstanding communication skills, ability to prioritize and juggle multiple tasks, organized, efficient, and has effective time management skills
  • Screening, counseling and assessment experience preferred, previous experience working with youth
  • Discreet, uses good judgment and has excellent follow up skills
  • Leadership capabilities with at least one year experience in a supervisory role
  • Understanding of API and/or LGBT community as it relates to health disparities and "at risk" groups, particularly with youth
  • Takes initiative and is able to work independently, but just as well in a team setting
  • Must be flexible, some evening hours are required to facilitate programs/events
  • Bachelor's degree in education, social work, counseling or related field. Will accept 2 to 3 years experience in lieu of degree.

UltraViolet is an online community of women and men fighting to expand women's rights and combat sexism everywhere—from politics and government to media and pop culture. We're looking for a Campaign Director to help lead our work, grow our community, and take UltraViolet to the next level.
With over 400,000 members across every state and congressional district, we make our voices heard to further the cause of full equality, empower women, and fight attacks on women's rights. Since our launch in early 2012, millions have spoken out in favor of fair pay, equal representation, and health care, and protested against far-right attempts to control women's health and lives. We've successfully campaigned to have Facebook add the first woman to its corporate board, got over a hundred advertisers to drop the Rush Limbaugh show, pushed Reebok to withdraw its sponsorship of rapper Rick Ross due to his sexually violent lyrics, and forced the architect of the Komen Foundation's decision to defund Planned Parenthood to resign.
Equality at a higher frequency is what we're all about.

THE POSITION

The UltraViolet Campaign Director is at the center of our fights for equality and against sexism. As Campaign Director, you would identify and run campaigns from start to finish, everything from drafting the email, to analyzing metrics, to running an on-the-ground protest or event.

You also have the chance to help build our organization. Just over one year old, UltraViolet members have already had a serious impact — but there is so much more to do. This position is a real chance to help build for the future.

The Campaign Director will report to the President of Campaigns and Communications.

RESPONSIBILITIES

Campaign Identification and Planning
  • Monitor political and social events for their potential to become campaigns and propose ideas for new campaigns.
  • Develop detailed campaign plans; solicit input from team members and partners.
  • Drive strategic and tactical planning and decision-making on key issues and campaigns
  • Monitor UltraViolet e-mail from members during campaigns and engage with those who write in as relevant.
Campaign Production and Management
  • Create campaign materials: emails, blog posts, op-eds, campaign pages, etc.
  • Interface with partners and consultants (e.g., designers, technology providers, etc.).
  • Stage email outreaches, landing pages, and other necessary technology set up. Work with our technology and design team to develop new projects and technology.
  • Coordinate on-the-ground events, such as petition deliveries, house parties, and rallies.
  • Manage member inquiries and issues related to the campaign, as needed.
Campaign Analysis
  • Continually analyze and report out on data and impact during campaigns.
  • Conduct internal campaign evaluations including lessons learned.
QUALIFICATIONS

The ideal candidate is an exceptional writer who is creative, entrepreneurial, detail-oriented, and flexible. They should be comfortable juggling multiple tasks and thrive in a fast-paced environment. Most of all, they should have the knack for campaigning: the ability to spot a moment, the willingness to go after any target, and the determination to keep pushing, even in the face of long odds. We're looking for someone who can spot an opportunity at 9 am, test the campaign by mid-morning, and launch that same day. A sense of humor and ability to work with our small (and mighty) team is a must. Specific qualifications include:
  • 3 to 5 years relevant campaigning experience
  • Experience with communications and media strategies; proven track record of generating earned media
  • Proven writing ability in relevant setting (think action alerts, not thesis papers)
  • Familiarity with online campaigning, including HTML
  • Ability and willingness to turn on a dime when opportunity knocks
  • A team player who also can work and manage projects independently
  • High comfort level with technology
  • Comfortable with a virtual office.
  • Knowledge about political and cultural issues related to women's issues is a plus
DETAILS

We structure our grant making around initiatives, rather than by program areas. These initiatives are varied in form, but all reflect our commitment to building authentic partnerships with grantees and other funders, and to taking calculated risks. We invest in innovative strategic grant making and initiatives that we hope, in the near and long term, will lead to societal transformation.

As part of our work to end violence against girls and women, the NoVo Foundation has a focus area on ending sex trafficking and the commercial sexual exploitation of girls and women. We believe that the commercial sex industry profoundly violates the human rights of girls and women – perpetuating and causing endemic violence, trauma, and oppression amongst girls and women who often are already the most marginalized. We seek to build a world in which no girl or woman is sexually exploited, and instead has meaningful opportunities and the chance to live a life free of violence.

Our work to end sex trafficking is premised on the idea that the commercial sex industry is a marketplace, and that we can "disrupt the market" with increased choice for the bought; more risk for the buyer; and less reward for the business.

POSITION SUMMARY

The Assistant will provide administrative support for the development and ongoing implementation of the Foundation's work to end sex trafficking. The Assistant reports directly to the Senior Manager, and works closely with other Foundation staff. Responsibilities will include meeting and event planning, communication with relevant partners and stakeholders, research and reporting, and general administrative support for activities that advance NoVo's work to end sex trafficking.

The ideal candidate is a high-performing administrative professional who is supremely organized and detail-oriented. She/he must be flexible, a quick learner, and successfully able to anticipate needs and improve systems when needed.


RESPONSIBILITIES
  • Coordinate special events to advance NoVo's strategy to end sex trafficking and manage all related logistics for the Initiatives team, current grantees, and other relevant partners; including booking travel, accommodations, event space, and other event planning activities;
  • Schedule meetings related to NoVo's work to end sex trafficking and coordinate with others' calendars where needed;
  • Conduct exploratory background research into anti-trafficking areas;

DESC is the largest multi-service agency serving homeless adults in the Puget Sound region, reaching over 7,000 people annually and providing state licensed mental health and chemical dependency treatment, 279 emergency shelter beds, and nearly 800 units of permanent supportive housing. Since 2009, DESC has moved over 1,100 vulnerable adults affected by mental illness, chemical dependency, and multiple disabilities off of Seattle's streets and into housing, more than any other local homeless provider in the area. DESC succeeds where others have failed. Stretching the bounds of accepted practices, DESC's professional staff have learned that creative, assertive and holistic approaches, including evidence based and emerging best practices, work best for our highly vulnerable and difficult-to-engage clientele. Many men and women who have a long history of homelessness also have tenuous if any ties to the mainstream community and lack natural support networks such as family members. By eliminating outdated barriers to services and housing, DESC has received national recognition for its work with chronically homeless adults with behavioral health disorders.

The Volunteer & In Kind Gifts Manager is responsible for planning and implementing a dynamic & multi-faceted program that utilizes donated items and skilled volunteers to support the needs of staff and clients and contribute to the DESC mission. This position recruits, trains and manages over 300 volunteers who annually perform over 20,000 hours of service in various DESC departments and programs; manages the solicitation, collection and distribution of in kind gifts valued at over $250,000 each year; represents DESC to our community partners and the community at large; and supervises one part-time staff person.

QUALIFICATIONS
  • Bachelors degree; extensive donations or volunteer experience may be substituted for degree.
  • Minimum 2 years prior experience coordinating donations and or volunteer programs.

PRIMARY FUNCTION

Contract position (12 hours/week) responsible for the overall management of the American Foundation for Suicide Prevention's Out of the Darkness Community Walks in Springfield and sites throughout southern Illinois in addition to other events and outreach responsibilities. DUTIES AND RESPONSIBILITIES
  • Events Coordinator will work from home on personal computer with internet access in Springfield Illinois. Must be able to travel for meetings, events, and as directed.
  • Travel throughout the state is required and reimbursable. Several meetings/events take place in the evening and on weekends.
  • Participate in community awareness events to increase publicity of the organization and educate the public on suicide prevention programs available through AFSP.
  • Responsible for fiscal management of events as well as volunteer management - including recruiting and training volunteers to serve on event committees.
  • Develop and maintain working relationships with community leaders and organizations to promote AFSP's message, build support for our mission and increase involvement in AFSP events and programs.
  • Work with media to publicize AFSP events and mission to heighten public awareness and reach fundraising goals.
  • Secure walk sites and ensure that all necessary permits and licenses are secured. Interact with officials and local authorities (town clerks, police, and fire depts.) as necessary.
  • Identify and solicit in conjunction with walk committee companies to provide cash and in-kind sponsorship and media sponsors.
  • In accordance with procedures identified in AFSP's walk manual oversee registration on the day of the walks.
  • In conjunction with walk committee recruit individual and team walkers (as outlined in walk manuals).
  • Be available as needed to help with mailings, brochure distribution and other administrative tasks associated with events.

The Administrative Associate will be joining the Center at an exciting time for the institution and at a critical time for the nation. The Center is led by President & CEO Nancy Northup, who brings a rich mix of experience in public interest law, government service, and women's rights advocacy. Under her leadership, the Center has expanded its international work, including the launch of an international litigation campaign that has included the first abortion case decided by the U.N. Human Rights Committee and the first case to frame preventable maternal deaths as a human rights violation. She also led the integration of the human rights framework in the Center's U.S. work and the establishment of the Law School Initiative. Before joining the Center in 2003, Ms. Northup served as the founding director of the Democracy Program at the Brennan Center for Justice at NYU Law School; as a prosecutor and Deputy Chief of Appeals in the U.S. Attorney's office for the Southern District of New York; and as a law clerk to the Honorable Alvin B. RESPONSIBILITIES

The Administrative Associate's main responsibilities will include:
  • Manage all correspondence for the President/CEO and Director. Develop and maintain work flow processes to ensure that correspondence is composed, edited and proofread for signing by the President/CEO or other surrogates. Correspondence may include memos, proactive letters of congratulations or thanks, and emails. Coordinate with other departments as needed.
  • Plan and execute the logistics of all Board of Directors meetings and affiliated activities throughout the year. This includes researching and securing venues and caterers, developing board/committee meeting schedules and agendas, organizing materials and mailings, coordinating with IT, handling travel arrangements for board members, and completing other administrative paperwork.
  • In conjunction with the Director of the OOP, coordinate the administrative functions and daily operations in support of board affairs, as well as develop and monitor the board affairs annual budget; ensure that the activities of the Board and its standing Committees are well-documented and that appropriate filing and archiving of information occurs.
  • Record and track Board-related developments, such as Board-approved commitments and policies, maintain and update various Board documents and coordinate and ensure execution of follow-up from meetings.
  • Support the Director of the OOP and team in providing logistical support for all-staff meetings, other special large scale meetings, special events, conferences and awards.
  • Maintain up to date and accurate contact lists for the OOP and generate reports as needed.
  • Receive and screen phone calls and assist with issues in their primary stages whenever possible. Work with OOP team to make sure all callers receive initial responses within two (2) hours and for more complex calls, appropriate responses within reasonable time frames.
  • Research and secure travel arrangements for U.S. and International travel
  • Process expense forms for the Office of the President.
  • Serve as a point-person for daily IT needs for the OOP.
  • Assist in maintaining President/CEO's files
  • Provide other administrative duties that include but are not limited to mailings, copying, collating, and organizing reports and other materials.
QUALIFICATIONS
  • Bachelor's degree required;
  • Excellent writing, proofreading and editing skills with attention to detail;
  • Minimum of three to five years of related work experience;

Auction Coordinator (temporary contract position)

Dates of Contract: approximately May 1 – October 18, 2013
Position will start part time and increase in hours up to full time closer to the date of the event.
QUALIFICATIONS
  • Must be available on the day and night of the auction, Saturday, October 12, 2013
  • A minimum of 3 years' experience in auction/event coordination and/or related field
  • Proven negotiation skills with hotels, catering and/or other vendors
  • Proficient in Microsoft Office Suite (PowerPoint, Excel, Outlook, and Word)
  • Tolerance for time-sensitive transactions and last minute changes
  • Excellent organizational, planning and leadership skills
  • High energy, flexibility and ability to meet deadline demands
  • Strong attention to detail
  • Excellent interpersonal, verbal and written communication skills
PRIMARY DUTIES & RESPONSIBILITIES
Auction Plan
  • Work with Deputy Development Director to write and execute plan and meet set goals including fundraising goals
  • Attend and report at meetings as requested by the Deputy Development Director and/or Executive Director
  • Review and track expenses and maintain budget worksheets
  • Coordinate with auctioneer, venue, and venders
Work with NARAL Staff and Auction Committee
  • Consult with and support staff, board and volunteers through all aspects of the event
  • Provide general oversight and overall production vision for the event
  • Provide Deputy Development Director with weekly updates she can give auction reports at weekly staff meetings. Attend weekly staff meetings as needed
  • Coordinate with staff to ensure goals are met in a timely manner
Procurement
  • Ensure that procurement is on track per auction plan
  • Create systems for reporting and tracking of goals and items
  • Ensure all items are entered into existing auction tracking system and are completely processed
  • Assess bidding from previous years' silent auctions and strategically focus on procuring items that are competitive
  • Assess income to value ratio of items in previous years' live auctions and strategically focus on procuring items that will be competitive and raise the most money
  • Create plan and supervise any procurement callers and volunteers
  • Help grow the number of high value/exclusive items in the silent and live auctions
Manage Event Day
  • Work with Deputy Development Director to create and coordinate day-of-event timeline
  • Planning and coordinating with the auctioneer on live items, logistics, and event needs
  • Develop floor plan
  • Act as liaison with venue on all aspects of floor pan relating to silent and live auctions, timeline, and if needed, the menu and guest seating
  • Directing on-site day of event set-up and strike for silent and live auctions
  • Directing and assisting with the execution of the after event wrap-up
COMPENSATION
Financial compensation for this contract position will range between $8,000-$11,000 DOE
