ABOUT THE POSITION

The President's Assistant is responsible for supporting the functions of the office of the President. This position requires excellent time management skills, attention to detail and the ability to communicate effectively across different mediums. The primary functions of this role are administrative, and require the maintenance and management of the President's schedule, making travel arrangements, handling all correspondence and processing expense reimbursements. As the representative of the office of the President, the President's Assistant must be committed to providing a positive experience for potential partners and external parties by being courteous and accommodating through in-person, phone and written communication.

RESPONSIBILITIES

Administrative (70%)
  • Maintain the President's calendar by scheduling meetings, coordinating internal and external requests, and making travel arrangements
  • Handle all of the President's phone and paper mail correspondence and expense reimbursement reports
  • Make copies, scan and send, and file documents
  • Assist with project management, including preparing materials for the financial audit and direct mail and fundraising vendors
  • Coordinate Executive Committee communication
National Board (10%)
  • Assist with forging positive relationships with board members
  • Staff board meetings and assist with logistics, including travel information
  • Take minutes during board meetings
Data Entry (20%)
  • Assist Membership and Field departments with updating the internal database, processing receipts and requests from members
Other duties as assigned

QUALIFICATIONS
  • 2-year Associate's Degree in business or nonprofit administration, or previous experience staffing an executive level manager
  • Commitment to NOW's mission, purpose and values; knowledge of NOW's structure and involvement in feminist issues a real plus
  • Demonstrated ability to meet tight deadlines, work under pressure, handle simultaneous assignments and work within a team setting

BAGLY's Boston Programs Coordinator is a part time hourly position that reports directly to the Boston Programs Manager. The Boston Programs Coordinator is responsible for the implementation of BAGLY's Boston based social support/community building, leadership development and advocacy programming with LGBTQ youth. $15 per hour / 15 hours week / no benefits
RESPONSIBILITIES
Under the supervision of the Boston Programs Manager, the Boston Programs Coordinator works with the Program Management Team, which includes; other program staff, youth leaders, adult volunteers, community consultants and interns to:
  • Participate in the development, evaluation and long-term strategic planning of BAGLY's programs
  • Increase BAGLY Boston Programs presence in relevant social media and develop BAGLY Boston Programs social marketing and other appropriate resource/education materials
  • Develop programming that supports BAGLY's ongoing work to address current and emerging needs of LGBTQ youth of color
  • Coordinate logistics and develop curricula for BAGLY's Leadership Development activities including; annual Youth Leadership Retreats and participation at national conferences and the BAGLY Speakers Bureau
  • Organize BAGLY's youth-led advocacy initiatives and support the development of new youth leaders through coordination of BAGLY's Queer Activist College program
  • Support the coordination of BAGLY's Social Support and Community Building programs, BAGLY's Youth Leadership Committee and maintain weekly social support drop-in spaces
  • Represent BAGLY at community events as appropriate
  • Maintain established relationships with local and national collaborators, funders and communities and sustain excellent internal and external communication and correspondence
  • Other duties as assigned
QUALIFICATIONS
  • Strong understanding of, and commitment to, BAGLY's mission, LGBTQ youth, youth leadership and development, health promotion and social justice.
  • Undergraduate degree and/or 4 years of full-time professional community-based program implementation or related experience
  • Familiarity with the youth development approach; and experience working with youth leadership models
  • Experience with community building and event planning
  • Experience working with communities of color, LGBTQ communities, and youth and young adults.

The NAF Hotline Fund is a 501 (c)(3) organization dedicated to providing accurate, unbiased reproductive health care information to women from diverse backgrounds and to providing callers with confidential consultation and referrals to providers of quality abortion care. The Hotline Fund also provides case management services to women with special needs and limited financial assistance to help subsidize care for low-income women. RESPONSIBILITIES

The Quality and Operations Assistant will work with both the Data Processing Manager and the Clinical Data Manager to provide administrative support to the Hotline. These duties will include:

POSITION DESCRIPTION

The Research Assistant is a twenty (20) hour a week part-time role responsible for researching and reporting on donors and foundations to keep the Development department updated on the latest news regarding all important donors. The Research Assistant also conducts background analysis on potential major donor or foundation prospects. This person will work closely with Foundations, Major Gifts and Event staff to achieve research goals.

RESPONSIBILITIES

•Conduct ongoing research for foundation prospects as directed by Development Foundation staff •Conduct research on major gifts prospects and work with Manager of Donor Operations to institute a pipeline of prospects for which research is conducted and profiles created and saved to the database •Gather daily research on major donors and board members and record in the database or funnel the information to appropriate parties as deemed necessary (through Google alerts or Internet tools) •Report regularly to Major Gifts and Foundations on their donors or prospects •Keep up to date on foundation publications and databases including Foundation Center, Lexus Nexus, and Wealth Engine •Scan fundraising periodicals for gifts to other organizations that match our funding profile and pass onto other departments •Conduct research on event attendees as needed •Conduct accurate wealth screenings on major donors or prospects •Help with mailings, data entry, or other special projects as needed

QUALIFICATIONS

GENERAL SUMMARY OF DUTIES
The Administrative Assistant for the Healthy Families Program is responsible for administering activities required to maintain and enhance program operations. Responsibilities include but are not limited to: administrative and program support, service coordination, and data and office management. ESSENTIAL DUTIES OF THE POSITION
ADMINISTRATIVE SUPPORT: Provide administrative support to the Healthy Families team including special and routine projects, which include, but is not limited to: data collection, recordkeeping, data entry, photocopying, file organization and maintenance, processing of invoices, and other clerical work as needed. Assists with phone surveys, written participant satisfaction surveys, and participant focus group. Collects and aggregates data based on feedback from program participants. Reviews and updates immunization records for children in the HF program. Assists with putting together advocacy materials.
SERVICE COORDINATION: Serves as primary contact for referral sources and new referrals, including: Reaching out to new referrals by phone, mail, and email; Keeping a contact log; Maintaining communication with referral sources. Researches resources for participants' referral needs and ensures timely follow up with participants.
DATA MANAGEMENT: Manages and improves data collection systems and procedures to insure timely reporting for internal and external use; reviews data to identify issues and trends which affect program operations, service delivery and marketing; maintains departmental databases and other resources.
OFFICE MANAGEMENT: Organizes the Healthy Families office to insure optimal utilization of space and resources; Processes donations and purchases; Manages and monitors equipment maintenance and training to insure cost effective, quality operations and service delivery; Ensures that the office is always kept clean, orderly, and well-functioning.
MISCELLANEOUS: Performs other tasks as required to support and maximize the programs and services of the Crittenton Women's Union.
KNOWLEDGE, SKILLS & ABILITIES
  1. Ability to work independently, being proactive in identifying problems and finding solutions.
  2. Ability to communicate effectively, both orally and in writing with co-workers, participants, and CWU Partner organizations.
  3. Strong organization skills.
  4. Ability to understand and follow specific instructions or multi-step procedures, perform simple mathematical computations, and code or complete routine documents and forms. Attention to detail is a must.
  5. Ability to create, compose, and edit simple written materials.
  6. Word processing and data processing skills.
  7. Ability to maintain confidentiality of records and information.

EDUCATIONAL AND OTHER REQUIREMENTS

PHYSICAL DEMANDS/WORKING CONDITIONS
Requires prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. RESPONSIBILITIES

  • Host Site Manager in charge of overseeing 2-3 AmeriCorps positions
  • Assist with weekly data entry into GiftWorks (donor software) & resulting thank you letters
  • Maintain updates on affiliate's web site through the use of Wordpress
  • Answer office phone inquiries, general correspondence and telephone requests
  • Maintain office machines, supplies, key databases and filing systems
  • Coordinate printing and mailing of semi-annual appeal letters
  • Other duties as requested
REQUIRED SKILLS
  • Excellent computer skills, specific knowledge of MS Office applications; familiarity with database programs a plus
  • Well organized, good team leadership skills

DESCRIPTION

The Center for Social Innovation is a woman-owned small business that develops, tests, and disseminates creative solutions to complex social problems. Through research and evaluation, training, technical assistance, and web-based communications, the Center for Social Innovation (C4) brings theory to the streets, applying the knowledge of best practices to real world settings. With this support, service providers are better able to address the challenges they face every day.
C4 is seeking a full-time Project Assistant (40 hours per week). The Project Assistant provides general administrative and research support to several projects within C4.
RESPONSIBILITIES
  • Provide administrative support to project staff, including scheduling conference calls, meetings, and travel; coordinating communication among project teams; and supporting a range of project management functions.
  • Manage logistics for training events, online training activities (e.g., webcasts, online courses) conferences, and other meetings. This includes collaborating with local partners, identifying venues, negotiating venue and hotel contracts, coordinating presenter/meeting materials, coordinating internal and external meetings and communication, applying for Continuing Education Unit (CEU) credits, booking travel, and other duties.
  • Provide research, writing, and editorial support to create reports, products, and curricula.
REQUIREMENTS
  • Bachelor's degree.
  • At least two years administrative experience.
  • Extremely accurate attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Word, PowerPoint, and Excel.
  • Basic knowledge of homelessness, poverty, and other related issues.
