POSITION: Part Time Program Assistant
Reports to: Director of Grantmaking

This is an administrative position designed to support Astraea's international grantmaking
activities, including processing application and award packages, payments, translation,
grantee data collection, and answering inquiries. The ideal candidate has a strong interest
and background in grants administration, accounting, fiscal management, data collection
and analysis, who enjoys working with numbers, data, and is well organized and detail
oriented.

Key Responsibilities
- Pre-screen ongoing grant inquiries and screen incoming calls and requests from organizations seeking funding. Evaluate proposal completeness and contact applicants/grantees as needed.
- Work with Program staff to maintain workflow of grantmaking, implement administrative aspects of grants application and award processes, including coordination of translation and working with translators.
- Conduct due diligence tasks as directed including research of potential grantees, coordinate communications with advisors and references, review of applicant budgets and financials, and applicants' non-profit status.
- Support program team in grantmaking and grantee quarterly and biannual monitoring processes, enter and compile grantee data, maintain high degree of data accuracy and integrity, prepare appropriate correspondence regarding the status of proposals and funding decisions to grantees, process grantee interim and final reports. Administer grantee payments and records, initiate payment requests, collect and document receipts, track payment records, resolve wire issues, and provide timely reports. Respond to staff and grantee requests for accounting and payment information
- Assist with preparation of information needed for production of Annual Report. Assist in audit preparation.
- Attend philanthropy training/education workshops and events as assigned.
- Coordination of conference calls, often across time zones, with international research teams, partner organizations, advisory panels, Astraea Staff and Program Manager for Global LGBT Human Rights Partnership.
- Undertake special duties as assigned.
Qualifications: The ideal candidate will be highly organized, self-directed, and enjoys working both independently and collaboratively. Previous accounting or grantmaking software experience is a plus. Must be able to communicate verbally and in written form in both Spanish and English, French a plus. A demonstrated commitment to the mission and values of the Astraea Foundation and confidence in the ability to enhance that mission.
